Once a trip has been reserved, Hosts can edit the trip details even further in their Portal. Configuring your trip is the next step in the Host journey, and is key to ensuring that your trip fits you and your audiences' needs. We will go over the details of this process to better understand how to edit the details, price, and add informal gatherings.
Configuration
From your Host Portal, navigate to your trips page and select the correct trip you want to edit. Your first tab will be the Configuration section, which provides editable fields for overall trip details. These include:
Trip Details: These include the Trip Name and Trip theme
Trip Name: This is how your trip displays on our Trip page, as well as in any marketing or promotional emails.
Trip Theme: Allows you to highlight the key features, vibes, or tone of this trip within the specific category of the itinerary.
Trip Description: This is the bio of your trip! Highlight what you hope to achieve, who you are, where you'll be going, and any other key feature you would like to describe your trip as having.
Photo Upload: Take pictures of yourself, the destination, and other engaging images to draw your audience in and get them excited about your trip.
Informal Gatherings: Unlike Formal Workshops, these are additional activities that you would like to include for your Travelers on-trip. What these look like is entirely up to you. However, past Hosts have used them for things like beach time, coffee meetups, or even Traveler gift exchanges!
If you have previously configured your trip and are returning to this page, you will also see links to your trip page, as well as launch details. You can view and manage your scheduled launch from the Configuration tab.
Please note that if you have another trip to the same destination, be sure to name them differently! This can help prevent confusion in your data reporting, booking management, and more.
Once you are satisfied with your trip details, Save and navigate to the next step: Pricing.
Pricing
Setting your trip pricing is a crucial step for the success of your launch. Keep your Traveler's median budget in mind, when selecting pricing. A great Host will find a balance between trip cost, Host Earnings, and added value. We also recommend setting early-bird pricing to encourage bookings upon launch. From this page, you can see:
Early-bird Price: Hosts usually offer an early bird price, which is typically $100-200 lower than the regular price. This encourages travelers to book sooner.
Regular Price: This is the cost as it is reflected to your Travelers. The default price is set based on the itinerary selected, Host selections/customizations, etc. Increasing the price here will see your earnings on the trip rise, but may also be prohibitive for your community, and can discourage bookings. Use your survey results to strike a good balance!
Potential Earnings: This table shows the Host's potential earnings, based on the number of travelers on the trip. This is why promotion is so essential, as the higher the number of Travelers, the higher you stand to make on this trip! You can view/hide the cost breakdown for more pricing transparency as well.
Earnings Advance: This is an upfront payment made to Hosts to cover costs for flights, or other logistical needs. There is a maximum amount you can request per trip, and it is also optional, based on your need.
Once you have finalized your pricing, you need to sign the Services Agreement. After that, you can then review your Itinerary.
Itinerary
The itinerary page will show a breakdown of your trip by day and event. This is determined by the itinerary you picked during the trip request, selected optional activities, formal workshops, informal gatherings, and more. If you are looking to fill out your days, you can also add informal gatherings to your itinerary at this stage.
Once reviewed and completed, you are ready to schedule your launch!
Schedule Launch
All of your hard work up to this point is about to pay off! After the services agreement is signed, you will get a pop-up of the next steps in your journey. You can then schedule the launch of your trip to the date and time. This will set off your email campaigns in your promote tab, and move your trip into the next stage of accepting bookings.
