As a TrovaTrip Host, you play a crucial role in shaping the travel experience for your group of adventurers. They have all come to be with you and be a part of your community. They will also look to you for setting the tone of Trip..
One key aspect of this role is setting clear expectations for your Travelers, ensuring they have a smooth and enjoyable journey from start to finish. A great moment for this is during your Welcome Dinner. This is an ideal time to set a positive and informed atmosphere for your upcoming trip.
Communicate Early and Often
Start setting expectations well before the trip begins by communicating with travelers through the TrovaTrip platform or group chat. However, the Welcome Dinner is a great way to do this in person at the beginning of your trip!
Provide detailed information about the trip itinerary, including activities, accommodations, and any important deadlines or requirements. Encourage travelers to ask questions and address any concerns they may have before the trip starts to avoid misunderstandings later on.
Be Transparent About Trip Details
Share accurate information about workshops, informal gatherings, and included activities to give travelers a clear picture of what to expect. Highlight any potential challenges or limitations, such as physical exertion levels, cultural differences, or local customs, so Travelers can prepare accordingly. You can also rely on your Guide to provide a local perspective for this as well. Manage expectations around flexibility and unexpected changes, emphasizing the need for adaptability while traveling.
Set Ground Rules and Guidelines
Establish clear guidelines for behavior, safety protocols, and group dynamics to ensure a harmonious travel experience. Communicate expectations around punctuality, respect for local customs and traditions, and adherence to group schedules. Encourage open communication and mutual respect among travelers, fostering a supportive and inclusive environment throughout the trip.
Set Realistic Expectations for the Travel Experience
Emphasize the importance of embracing the journey, including both the highlights and the inevitable challenges that come with travel. Encourage your Travelers to maintain a positive attitude and an open mind, fostering a spirit of curiosity and exploration throughout the trip. Remind Travelers that unexpected situations may arise, but with flexibility and cooperation, they can overcome obstacles and create lasting memories together. Make your own mental and physical health a priority as well! Set expectations on relationship building and personal space.
Get Content Consent
A lot of our Hosts use a Trova trip as a great way to gather content for their own brand and business, and it's something we highly encourage! However, be sure to set the expectations of the type, level, and appropriate content you wish to capture with your group. Respect boundaries and encourage your Travelers to do the same with posting any content publicly.
Be Safe
Please take time to read through our Community Guidelines. Our Operators have very thorough crisis management systems in place in the event there is a safety issue on the ground. If you feel uncomfortable due to the behavior of a Traveler or other person on the trip, you may contact your guide, call the Operator's emergency number, or let us know, and we will ensure that we engage our CMS protocol.
Setting traveler expectations is a fundamental aspect of hosting a successful TrovaTrip. By communicating clearly, providing accurate information, and fostering a supportive atmosphere, you can ensure that your travelers feel informed, prepared, and excited for the adventure ahead. Remember to lead by example, embodying the spirit of exploration and camaraderie that defines the TrovaTrip experience. Safe travels!
