Booking Airport Transfers

Here at TrovaTrip, we strive for World-Class Experience in all parts of our products and services. To provide this, we have partnered with Transferz.com to offer external transfers to and from the airport in destination. Partnering with transfer experts, we aim to offer a more affordable and customized experience, including features like flight tracking and SMS communication for an improved arrival experience.

Booking a Transfer

Booking a transfer can be done from your Portal page once you have created a booking. If you have more than one person in your booking, the Primary Traveler will be the one with access to add this to the order, similar to our optional services and add-ons.

Please note that not all trips will have the option to book a transfer in this way. Some itineraries like camping, hiking, etc. will offer an included transfer from the airport through our Operator.

  1. Navigate to your Portal and select your correct trip. On the Trip Overview page, you will see the option to schedule rides from the airport. You will have up to 72 hours before your trip starts to add a transfer. If you do not wish to book a transfer through us, you will be responsible for arranging your own transportation to and from the airport.

  2. Select Book Transfer and fill out the required information for both your Arrival Transfer and Departure Transfer, as needed. By default, it will not include the Departure Transfer, and you must add it to your order here.

  3. Pickup dates can be arranged up to a week before the trip starts to accommodate early arrivals.

  4. If you are selecting your pickup date as the day the trip starts, ensure that your pickup time gives you time to arrive at the hotel before the Welcome Dinner on day one. The location and time of this will be sent in the Detailed Itinerary.

  5. If there are multiple people in your traveling party, only one person needs to book a transfer on their booking and can share the details with the other passengers.

  6. Choose your vehicle. Be sure to select the type that best suits your needs, reviewing the maximum passenger and luggage amounts. The driver will be tracking the flight information that you input on the previous page, so there will be no need to update them for delays or early arrivals!

  7. Enter your contact information and review the terms and conditions before accepting them.

  8. Pay for your transfer!

  9. To confirm the status of your transfer, go to the Manage Booking tab of your Portal and scroll down to the ride status.

Changing Your Transfer Information

If you have entered incorrect information on your transfer booking, you will need to cancel your booking and rebook with the correct information. Navigate to your Portal and click the Booking Details on your transfer from the Trip Overview page.

If you have paid your booking in full, we will refund you the cost of this canceled booking as long as it is more than 24 hours before the ride date. If you have not paid in full, your balance is simply just adjusted to remove the canceled transfer.

Rebooking a transfer follows the same steps above. Please note any cancelations or new bookings must be before 24 hours of the ride date.

Transfers FAQs

What happened to the old transfer process? TrovaTrip is dedicated to providing the best experience via our marketplace model. This means we partner with experts in each field to make your experience amazing. Some trips will continue to use the previously included process as we move into this new partnership.

What happens if I have a problem with my transfer? All support-related questions and issues can be directed to Transferz Support. Our Support team has the same view of your transfer as you see on your booking.

How will I be notified about my transfer? Once you book a transfer, you can opt into email and/or SMS updates from Transferz directly.

Do I need to book a transfer for my trip through my booking? No! These transfers are entirely voluntary. If you prefer to manage this yourself via taxi, rideshare, or hotel shuttle, you are welcome to do so. Just be sure that you are arriving in the lobby of your hotel before the welcome dinner. Your guide will communicate time and place via the group chat.

When can I book a transfer? You will be notified of the availability to book a transfer for your trip around 30 days before the trip starts after you receive your detailed itinerary. You can book a transfer up to 72 hours before your trip starts, giving you flexibility around your flight times!

Why should I pay more for this service? While there may be cheaper options, Transferz provides a high level of service to ensure peace of mind and efficiency. They will automatically track your flights and are a meet-and-greet service, meeting you at the airport with a sign.

Is the transfer cost included in the booking price? No, Travelers will need to pay Transferz directly. However, the total cost of the trip can be reduced, as we are no longer associating the transfer cost with the trip pricing.
