A Traveler's guide to coordinating airport transfers for their trip

Planning how you'll get to and from the airport is an essential part of your trip. Whether your Trova Trip includes a transfer or you need to arrange one yourself, we’re here to help!

Most Trova Trips don’t include airport transfers to keep costs down and give Travelers more flexibility. However, some trips—especially those in remote destinations—do offer included transfers since they can be harder to reach.

No matter your trip type, this guide has everything you need to coordinate your airport transfer effortlessly. Follow the steps below to get started!

How do you know which transfer option your trip has?

If your trip includes airport transfers, you will be able to view the details in the Airport Transfer tile, located under the Itinerary tab in the Portal.

If your trip does not include airport transfers, you will be prompted to plan a ride in the Trip Overview tab of the Portal. The 'Book Transfer' button will become active closer to the trip start date, once scheduling is available.

Booking a Transfer

Arranging Transfers for Trips Without Included Transport

Booking a transfer can be done from the Portal via Transferz once the detailed itinerary has become available for your trip—typically around 30-40 days before your trip start date. If you have more than one person in your party, the Primary Traveler will be the one with access to add this to the order, similar to our optional services and add-ons.

How to Book Your Transferz

  1. Navigate to the Portal and select your correct trip. On the Trip Overview page, you will see the option to schedule rides from the airport. You will have up to 24 hours before your trip starts to add a transfer. If you do not wish to book a transfer through us, you will be responsible for arranging your own transportation to and from the airport.

  2. Select ‘Book Transfer’ and fill out the required information for both your Arrival Transfer and Departure Transfer. By default, it will automatically include your Departure Transfer, if you wish to remove your Departure Transfer, select the trash can icon.

    1. Please note: Your transfer must include the airport as either the starting location or destination.You will need to enter in the airport address, which you can find the recommended arrival and departure airport on your trip page. The address for the Hotel will auto-populate as the destination or starting location but can be changed if desired.

  3. Pickup dates can be arranged up to a week before the trip starts to accommodate early arrivals. Departure dates can be arranged up to 5 days after the trip ends.

  4. If you are selecting your pickup date as the day the trip starts, ensure that your pickup time gives you time to arrive at the hotel before the Welcome Dinner on day one. The location and time of this will be sent in the detailed itinerary.

  5. If there are multiple people in your traveling party, the primary booker needs to book the transfer and can share the details with the other passengers.

  6. Choose your vehicle. Be sure to select the type that best suits your needs, keeping in mind the maximum passenger and luggage amounts. Your driver will be tracking the flight information that you input on the previous page, so there will be no need to update them for delays or early arrivals.

  7. Enter your contact information as prompted and review the terms and conditions before accepting them.

  8. Pay for your transfer to complete your reservation.

  9. To confirm the status of your transfer, go to the Manage Booking tab of the Portal and scroll down to the ride status.

Changing Your Transfer Information

If you have entered incorrect information on your transfer booking, you will need to rebook with the correct information. Navigate to the Portal and click Booking Details on your transfer from the Trip Overview page.

Rebooking a transfer follows the same steps above. Please note that any new bookings must be made 24 hours before the trip starts. Cancellations can be requested 24 hours before the actual ride, itself. All transfers are refundable as long as they are canceled 24 hours before the ride starts.

We recommend booking the new ride first, before cancelling the old ride. When cancelling a transfer, you may be blocked from booking a new ride until the old one has been refunded.

Changes to Your Transfer

  • If you need to make a change to an existing ride order, you can contact Transferz first. As long as the change does not change the price of the transfer, they will be able to help make that change.

    • Upon completing a transfer order, you will receive an email confirmation from Transferz that will have their contact information.

  • If the change does incur a price update, you will need to follow the instructions above to book a new ride, then cancel the old one. You can contact Trova Support at this time.

Issues With Your Ride

  • If you have any issues with your transfer: the driver is missing, the quality is poor, etc. you can contact Transferz directly for them to start an investigation. If they determine that you should receive a refund, they will contact our Support team to process that refund.

  • If you have an issue with Transferz directly, we encourage our customers to reach out to our Support team so that we can investigate and resolve any problems on your behalf.

Arranging Transfers for Trips With Included Transport

As mentioned, some trips offer included transfers from the airport to the meeting location. If your trip includes transfers, the details like the number of transfers provided and guidelines can be found on your trip page or on the Airport Transfer tile on your itinerary breakdown.

  • Transfers Are Based on Submitted Flight Times: Travelers arriving within designated transfer windows are grouped together. For example, if 10 travelers arrive at 10:15 AM and one at 5:00 PM, the latter may need to arrange their own transport.

  • Transfer Windows: The guidelines can be found on the trip page under Trip Overview, or in the itinerary breakdown on the Airport Transfer tile for the first and last day.

  • Operator Waiting Time: Typically, the Operator will wait up to one hour for scheduled Travelers.

  • Departure Flights: Unless otherwise specified, we suggest booking afternoon departure flights to allow for a stress-free transfer to the airport.

If your arrival falls outside of the designated transfer times, you will need to arrange your own transportation. Options include:

  • Ride-share services (Uber, Lyft, etc.)

  • Hotel shuttles (check directly with your accommodation)

  • Taxis

What happened to the old transfer process? Here at TrovaTrip, we strive for a World-Class Experience in all parts of our products and services. To provide this, we have partnered with Transferz to offer external transfers to and from the airport in destination. Partnering with transfer experts, we aim to offer a more affordable and customized experience, including features like flight tracking and SMS communication for an improved arrival experience. Some trips will continue to use the previously included process as we move into this new partnership.

What happens if I have a problem with my transfer? All support-related questions and issues can be directed to Transferz Support. The TrovaTrip Support team has the same view of your transfer as you see on your booking.

How will I be notified about my transfer? Once you book a transfer, you can opt into email and/or SMS updates from Transferz directly.

Am I required to reserve a transfer for my trip through my TrovaTrip booking? Nope, these transfers are entirely voluntary. If you prefer to manage this yourself via taxi, rideshare, or hotel shuttle, you are welcome to do so. Just be sure that you arrive in the lobby of your hotel before the Welcome Dinner. Your Guide will communicate time and place via the group chat.

When can I book a transfer? You will be notified of the availability to book a transfer for your trip around 30 days before the trip starts after you receive your detailed itinerary. You can book a transfer up to 72 hours before your trip starts, giving you flexibility around your flight times.

Why should I pay more for this service? While there may be cheaper options, Transferz provides a high level of service to ensure peace of mind and efficiency. Your driver will try to track your flights to monitor any delays within 3 hours (please note that due to airline inconsistencies, this may not always be available). They will also provide a meet and greet service, waiting for you with a sign at the arrival terminal.

Is the transfer cost included in the booking price? No, Travelers will need to pay Transferz directly. However, the total cost of trips is reduced, as arrival and departure transfer costs are no longer factored into the trip pricing.
