Flights Best Practices

Our trips and destinations are beautiful, adventurous, and thoroughly curated for our community. However, getting to the trip is half the battle! We will cover the best practices for arranging flights, and what is required by us to get you to your trip.

Booking Flights

Trovatrip does not currently have any partnerships or ownership for flights for our Travelers. You are fully responsible for booking and arranging your flights to and from the destination. Depending on your origin and destination, flights can take up to 1 to 2 travel days. We recommend allowing time to arrive by your trip's start date, even if that means arriving a day or two early! We also may offer additional pre-trip accommodations for an additional cost, depending on the trip! Check your trip's Manage Booking tab to see if there are additional pre or post-trip accommodation options.

Please note that flight schedule availability varies by airline, as some do not release schedules until 8-10 months out.

Booking Transfers

Unless otherwise specified, Travelers will be responsible for arranging their own transportation to and from the airport. This can be done with ride-share, hotel shuttle, taxi, etc. However, we offer optional transfers via our partner, Transferz, straight from your booking. Arranging Transfers Included with the Trip

Most trips will give the option to book your own transfer, through our partner, Transferz. See above for more information.

Some trips have an included number of transfers from the airport to the hotel for arrivals and vice versa for departures. These are arranged by the flight times submitted on the Traveler Trip Form to ensure the most amount of travelers can be accommodated.


If 10 travelers are scheduled to arrive at 10:15 am and 1 traveler at 5 pm, the latter may not secure an offered transfer if no transfers are available. If you arrive outside the designated transfer time windows, you must arrange your own transportation to and from the airport. We suggest contacting the hotel directly, as they often provide airport shuttles.

In most cases, the Operator will wait for up to 1 hour for those booked to get to the transfer. Transfer windows displayed on the Trip Overview display the available times that transfers can operate, not recommended flight arrival times.

Unless otherwise specified on your trip, we recommend booking Departure flights in the afternoon to allow time for travel to the airport in the morning.

Entering Your Flight Info

All Travelers are required to enter their flight information on their Trip Form correctly and as timely as possible. Our Trip Coordination team relies on the submitted information to accurately schedule transfers, assign roommates, and more. Here are a best practices for what information to include or be aware of.

  • Verify the Correct Airports: When booking your flights, confirm which airports are listed on your itinerary for both arrival and departure. Additionally, make sure you are entering the correct segment of your flight for your arrival and departures for multi-legged travel.

  • Your Flight Number: This should be two to three letters followed by two to four numbers and an example would be UA1116. The airline will provide this for you on your booking confirmation however if you are unsure, please contact your airline for this.

  • Enter the Correct Dates: International travel can be confusing! When entering your flight times, we require the date for when you arrive in the destination, not the date you leave.
